Work Coordinator - TFM

  • Salary: £26,543.34 - £29,140.44 (Pro rata) Depending on Experience
  • Location: County Hall, Norwich, NR1 2DH
  • Hours per week: 20, Monday to Friday (flexible shift pattern)
  • Contract: Fixed Term (8 Months until 31 March 2025)

Norse Group are a lead facilities management services provider built on a foundation of joint ventures with Local Government partners. We currently have an exciting new opportunity for a Works Coordinator to join our team at County Hall, Norwich on a part-time, fixed term contract until 31st March 2025.

The Role:

Your role will be to provide a range of administrative services to ensure the work for properties managed by the Facility Managers is allocated to contractors appropriately, monitored and actioned accordingly. You will focus on works coordination of both planned and reactive requests to include arrangement and closure to required response times. You your main responsibilities will include:

  • Assigning work requests to sites under the required portfolio and allocating work to the mobile maintenance team, external contractors, or other Norse teams according to the priorities stated on the CAFM system work orders.

  • Producing purchase orders for external contractors, receipting of completed works and approval of related invoices within the relevant approval remit.

  • Continual monitoring of work requests to ensure satisfactory conclusion and liaising with external and internal service providers to ensure completion of work within required timelines.

  • Efficiently and accurately inputting data to ensure the CAFM system accurately reflects status of works, including closing promptly, holding accurate status and being correctly assigned.

  • Supporting the Facility Managers through arranging contractor quotes for large works, capital works or compliance remedials, in compliance with NCC procurement framework.

  • Arranging any non-SLA work as requested by the Facility Managers, ensuring that all funding is in place before work commences

  • Supporting the FM Contract Managers as required, including the arrangement of planned and reactive work with contractors

Our Successful candidate

It is essential that our successful candidate has excellent communication skills both verbal and written as your daily tasks will include; answering incoming calls, queries and emails from clients, providers and suppliers and responding appropriately.

We are also looking for someone with previous administration experience within a busy office environment along with the following:

  • Experience of working in a customer facing role
  • Knowledge of facilities management
  • Experience of assigning work to appropriate contractors, including issuing purchase orders
  • Competent in use of Microsoft Office software (Word, Excel, Outlook etc.) and information databases
  • Excellent communication skills both written and verbal.
